Day in the life of Gill - Business Support Administrator

In my multi-tasking role there is no typical day as every day is different depending on what matters or issues arise as each day evolves. This makes my days unpredictable, sometimes challenging but exciting.

My first priority of the day is to make sure we have plenty of tea & coffee supplies – happy staff & volunteers = productive staff & volunteers.

I will then check and respond to emails, deal with answerphone messages and prioritise my workload for the day.

Part of my job remit is to ensure the premises and equipment on the premises are maintained and fully functional, so I will inspect all areas and respond to any reported concerns, fix any issues I am able to myself and liaise with external contractors/suppliers for repair and remedial works as necessary. I manage our cleaning contract and order cleaning supplies required.

At any point in my day I can be called upon to rectify IT issues. Along with our external IT support company, I maintain our IT systems, hardware and peripherals ensuring all staff & volunteers have the fully working equipment & resources they require. I also order and maintain the office stationery supplies.

I am the first point of contact for the hire of our executive rooms, so will liaise with the hirers, complete booking forms & invoices, ensure the rooms are presentable and equipment requested is available, meet & greet the hirer on the day and run through applicable policies and procedures.

My day will always involve some part of the HR or financial side of my role, whether it’s paying invoices, bank reconciliation, petty cash, payroll, expenses, bookkeeping, updating personnel files, staff leave and absence, new staff or volunteer set ups and any other administration required.

Although I am not directly involved with advice to clients, I am the ‘go to’ person for staff and volunteers when it comes to supplies, resources, equipment, premises and every day issues. This makes my role very rewarding, knowing that the back support I can provide ensures our advisers are able to provide a complete and efficient service to our clients.
